The Crusader Pep Band is responsible for promoting enthusiasm and support for Valparaiso University Athletics at home football, men’s and women’s basketball, and women’s volleyball games. Through music, the band contributes to the spirit of the school and creates a very exciting atmosphere.

Article I: THE EXECUTIVE OFFICES OF THE CRUSADER PEP BAND

Section A: The Staff Director of the Crusader Pep Band

Clause 1: Qualifications
The Staff Director shall be appointed by the Athletic/Music Departments. He/she shall be qualified to run a college-level band program and have experience leading a program and working with college-age adults.

Clause 2: Duties
a) The Staff Director shall direct and lead the band at all home football, men’s and women’s basketball, women’s volleyball games, rehearsals, and any other requested musical engagements when the Student Directing Staff is unavailable.
b) The Staff Director shall be responsible for all administrative duties with the assistance of the Student Directing Staff. This may include: budgeting, recruiting, maintaining a list of members, communicating with members, updating music in music books, dealing with problems that arise, working with the public, logging attendance, purchasing new music or equipment, etc.

Clause 3: Expectations
a) The Staff Director shall maintain a working relationship with the ARC staff/Music faculty.
b) The Staff Director shall be flexible, calm, and conduct himself/herself in a professional manner at all times in all situations.
c) The Staff Director shall be accountable to the members of the Crusader Pep Band with regards to musical development, positive direction, prompt communication, and enthusiastic encouragement.

Section B: The Student Director of the Crusader Pep Band

Clause 1: Qualifications
The Student Director shall be a full time student of Valparaiso University, excepting extenuating circumstances. He/she shall also have served as a member of the Crusader Pep Band for at least one year (attending at least 75% of all events) before being elected into the position [see Article II]; preferably having experience as the assistant director.

Clause 2: Duties
a) The Student Director shall direct and lead the band at all home football, men’s and women’s basketball, women’s volleyball games, rehearsals, and any other requested musical engagements.
b) The Student Director shall assist the Staff Director in preparing and running rehearsals.
c) The Student Director shall assist the Staff Director in organizing and maintaining the music folders as well as purchasing new music.
d) The Student Director shall inform himself/herself about the budget and assist the Staff Director in communicating with members and other administrative tasks.
e) The Student Director shall assist with recruitment by: helping with summer FOCUS sessions, speaking at the fall music interest meeting for new students, helping with the Activities Fair, and posting signs and other information regarding the band’s mission.

Clause 3: Expectations
a) The Student Director shall maintain a working relationship with the Assistant Student Director, ARC staff, and Music Faculty.
b) The Student Director shall conduct himself/ herself in a professional manner at all times, especially when relating to the public.

Section C: The Assistant Student Director of the Crusader Pep Band

Clause 1: Qualifications
The Assistant Student Director shall be a full time student of Valparaiso University, excepting extenuating circumstances. He/she shall also have served as a member of the Crusader Pep Band for at least one year (attending at least 75% of all events) before being elected into the position [see Article II] and shown active involvement in the band during the year prior to being elected.

Clause 2: Duties
The Assistant Student Director shall assist the Student Director with his/her duties [see Article 1, Section B, Clause 2] and shall also assist the Staff Director in any way needed.

Clause 3: Expectations
The Assistant Student Director shall adhere to the expectations of the Student Director [see Article I, Section B, Clause 3].

Section D: Impeachment
If it is determined by the members of the Crusader Pep Band that the Student Director or Assistant Student Director are delinquent in performing their duties and responsibilities, then he or she may be removed from the office by a ¾ majority vote of all voting Crusader Pep Band Members [see Article II].

Section E: Vacancies
a) A vacancy in the office of Student Director shall be filled by the Assistant Student Director.
b) A vacancy in the office of Assistant Student Director shall be filled by a special election [see Article I, Section F].
c) Vacancies in both offices (Student Director and Assistant Student Director) will require an immediate special election of new officers [see Article I, Section F].

Section F: Special Elections
A special election shall take place if a Student Director can no longer fulfill his/her duties as Director or is impeached [see Article I, Section D and Article III].

Section G: Section Leaders
Section Leaders shall be appointed by the Staff and Student Directors. Section Leaders should be strong musicians and will shall be responsible for leading sectionals (as needed during rehearsals) and communicating with section members to remind them of upcoming events. If the section is too large for one person, two or more section leaders can be appointed.

Article II: VALPARAISO UNIVERSITY CRUSADER PEP BAND PARTICIPATION

Section A: Core Band Membership

Clause 1: Composition
Each core band (Brown & Gold) shall be composed of 15 members (including VU students, alumni, and/or community members) of approximately the following instrumentation: 1 flute/piccolo, 1 clarinet, 1 alto, 1 tenor, 3 trumpets, 2 mellophones, 3 trombones, 2 baritones, 1 sousaphone, and 1 drum set. Members shall be chosen at the conclusion of the fall season.

Clause 2: Attendance
Core band members are strongly encouraged to attend all events, but are required to attend assigned games. Should a core band member need to miss an assigned game, he/she must find someone of the same instrument as a substitute and notify the Staff Director of the substitution 24 hours in advance of the game. Except in case of emergency, failure to find a substitute and/or notify the Staff Director in advance shall result in an unexcused absence. More than 1 unexcused absence shall result in the loss of tournament privileges and/or removal from the core band.

Clause 3: Qualifications
Core band members shall be chosen by the directing staff at the conclusion of the fall season based on points [see Article II, Section B, Clause 3] earned and according to the instrumentation needs [see Article II, Section A, Clause 1].

Clause 4: Duties
Core band members shall respond to weekly whenisgood (hereafter “WIG”) links helping the Staff Director to gauge attendance. They shall sign in at every event and shall follow the instructions of the directing staff.

Clause 5: Privileges
Core band members shall be guaranteed spots in the Horizon League and NCAA tournament bands. This privilege may only be revoked due to attendance issues [Article II, Section B, Clause 3]. Core band members reserve the right to give their spot away should they be unable to participate in the tournament bands. Core band members shall have voting privileges [see Article III] and have the privilege to add to, alter, or amend this constitution [see Article IV].

Clause 6: Conduct
Core band members shall maintain a high level of musicianship, professionalism, and sportsmanship reflecting a positive representation of the university, the Athletic Department, the Music Department, and the Crusader Pep Band. Alcohol, drugs, cursing, intentionally throwing items, threatening others or any other negative actions shall not be tolerated. Core band members are required to wear the official yellow polos (or other uniforms as specified by the directing staff) for every public performance. Clothing with unprofessional holes, revealing neck lines, midriffs, or buttocks, or with inappropriate sayings, pictures, or logos shall not be tolerated.

Clause 7: Hygiene
Core band members shall observe good personal hygiene practices at all times; showering regularly, washing hair, using deodorant daily, and regularly washing all uniforms.

Section B: General Membership

Clause 1: Composition
General members shall be current Valparaiso University students, alumni of the Pep Band, or community members.

Clause 2: Attendance
General members are strongly encouraged to attend all events. Should a general member need to miss an event, the Staff Director should be notified through the WIG link, or by e-mail 24 hours in advance, except in case of emergency.

Clause 3: Qualifications
General members shall consist of all those who earn half of the available points as designated by the point system.
a) Points System:
Football 3 points
Women’s Basketball 2 points
Volleyball 2 points
Men’s Basketball 1 point
Extra Events/Rehearsals 4 points
b) Points vary each year

Clause 4: Duties
General members should respond to weekly WIG links helping the Staff Director to gauge attendance. They shall sign in at every event and shall follow the instructions of the directing staff.

General members shall be invited to participate in the Horizon League & NCAA tournament bands should core band spots become available. They shall have the privilege to add to, alter, or amend this constitution [see Article IV] and shall have voting privileges [see Article III].

Section C: Occasional Participants

Clause 1: Composition

Occasional participants should attend as many events as possible.

Clause 3: Duties
Occasional participants should respond to weekly WIG links whenever possible. They shall sign in at every event and shall follow the instructions of the directing staff.

Clause 4: Conduct
Occasional participants shall maintain a high level of musicianship, professionalism, and sportsmanship reflecting a positive representation of the university, the Athletic Department, the Music Department, and the Crusader Pep Band. Alcohol, drugs, cursing, intentionally throwing items, threatening others or any other negative actions shall not be tolerated. Article III: ELECTION OF OFFICERS

Section A: Candidate Expectations
[see Article I] Persons interested in running for Student Director or Assistant Student Director shall conduct a song during a game prior to the elections. They shall meet with the directing staff prior to elections. Candidates shall deliver a prepared speech and answer questions presented by voting members.

Section B: Voting Members
Members who have earned at least half of the points possible within the year are eligible to vote in elections. [see Article II, Section B, Clause 3]

Section C: Election Procedures
Elections shall take place upon the completion of the performance schedule, sometime in the spring. Parliamentary procedure shall be observed. Nominations may be taken from the floor. Election of a Student Director shall take place first. Candidates shall deliver a speech. Following speeches, voting members may present questions to the candidates. Candidates shall step out of the room for a period of discussion. Candidates may re-enter the room and voting shall commence. A majority of voting members is needed. The same process shall be used to elect an Assistant Student Director. The elected positions shall become effective at the end of the spring semester.

Article IV: AMENDING AND ADOPTING THE CONSTITUTION

A majority of all voting members is required to amend or adopt changes to the Constitution. Voting may be done by voice, hand motion, or e-mail response. It is recommended that changes to the Constitution be voted on at the time of elections.

Article V: CONSTITUTION REVISION
The Constitution will be reviewed at the end of every other year by the directing staff and Section Leaders. All suggested revisions should be brought to the attention of the above listed people. Revisions shall be voted on in accordance with Article IV.
